Agree on what the client would actually accept

Translate the client’s ideal customer profile into observable criteria. Industry and company size may be useful context, but the brief also needs a problem the offer solves, situations it cannot support, and the evidence required to justify a handoff.

Agree on exclusions before running discovery. Existing customers, unsupported geographies, student projects, and unbuilt feature requirements can each create wasted review work if nobody defines how they should be handled. Keep these decisions in your agency’s client brief.

Review each audience against its own brief

Preserve the original URL, discussion context, fit rationale, and open questions in your handoff. Verify any suggested response against the client’s real offer. A draft should not inherit claims from another account or imply the agency has delivered a result it cannot substantiate.

Make the handoff easy to approve or decline

A useful lead handoff contains enough context for the next person to make a decision without repeating all the research. Explain the need in plain language, identify the reason for fit, and name the requirement that still needs confirmation.

Keep communication ownership explicit. If the client is reviewing the conversation, do not have several people independently approach the same author. Client approvals and opportunity reporting can stay in your existing workflow; confirm any specific integration or account-access requirements in a demo.

  • Source and date: where did the conversation happen?
  • Observed need: what did the person explicitly describe?
  • Fit: how does the client’s current offer address it?
  • Unknowns: what could disqualify the opportunity?
  • Suggested next step: what useful response is appropriate?

Keep discovery volume separate from commercial results

Report the number of results reviewed, the number accepted against the brief, and the next steps agreed with prospects as separate measures. If you report a rate, explain its denominator. A client should be able to tell whether “qualified” means an internal fit check or a confirmed sales conversation.

The Agency plan provides discovery capacity for higher-volume work. It does not establish guaranteed meetings, a white-label portal, separate client permissions, or a managed outreach service. Evaluate the current product against your delivery process before promising these capabilities to a client.

Can I promise a fixed number of meetings from a plan?

No. Plan volumes describe discovery capacity. Whether a conversation is relevant, whether a person responds, and whether a meeting makes sense depend on the audience and the actual need.

What should I confirm before using it across clients?

Discuss audience setup, account access, discovery capacity, and any integration or reporting requirements in a demo. Do not assume the Agency plan includes a client portal or custom permissions.
